AI Notice

ZENIA Assistant is an AI-powered conversational assistant operated under the ZENIA Assistant / buildbot.ro brand by Popescu Adrian Florin, an individual operator based in Romania.

ZENIA-powered chatbots answer questions using a knowledge base assembled by the chatbot operator. This may include content sourced from website crawls, uploaded documents, or manually entered text.

ZENIA-powered chatbots are designed to give users quick, relevant answers grounded in the operator's own content. They are not general-purpose search engines. Unless a specific integration states otherwise, they are not connected to the live internet during a conversation.

When you interact with a ZENIA-powered chatbot, your message may be processed by a large language model (LLM) and related AI infrastructure. The response you receive is generated by AI; it is not written by a human in real time.

The AI selects and synthesises relevant content from the configured knowledge base to produce an answer. While responses are intended to be grounded in the operator's content, the wording and structure of each answer are produced by the AI model.

You should read AI-generated responses as informational, not as authoritative statements. They may contain errors, omissions, or outdated information.

AI language models have known limitations that users should be aware of:

• AI can produce responses that appear confident and well-structured but contain factual errors.
• AI may misinterpret ambiguous or complex questions.
• AI responses are only as current as the underlying knowledge base and the most recent indexing or upload available to the chatbot.
• AI may occasionally produce responses that are off-topic, overly literal, incomplete, or inconsistent across sessions.
• When the knowledge base does not contain a relevant answer, the chatbot may give a fallback response or, depending on configuration, attempt to respond from limited context.

ZENIA applies grounded retrieval techniques, source references, and other quality controls where supported to reduce unsupported answers. These safeguards reduce risk but do not guarantee that AI output is always correct.

ZENIA does not warrant the accuracy, completeness, availability, or suitability of any AI-generated response for any particular purpose.

Responses are provided on an as-is and as-available basis. The quality of responses depends on the quality, scope, and currency of the knowledge base configured by the chatbot operator. ZENIA does not independently verify all operator-provided content.

Users should treat AI-generated answers as a starting point for information, not a definitive or authoritative source.

You must not rely solely on AI-generated responses from ZENIA-powered chatbots when making decisions in high-risk, regulated, or safety-critical areas, including:

• Medical diagnosis, treatment, triage, or health advice.
• Legal advice, legal representation, or interpretation of laws and contracts.
• Financial investment, tax, accounting, credit, lending, or insurance decisions.
• Employment, education, eligibility, access-to-service, or similarly significant decisions about individuals.
• Emergency response, crisis intervention, law enforcement, public safety, or safety-critical engineering.
• Any situation where an incorrect answer could cause serious harm, legal consequences, financial loss, or denial of important rights or services.

For matters in these categories, always consult a qualified professional and apply appropriate human review. AI responses may appear relevant and helpful but must not replace expert judgment or legally required decision-making processes.

If you operate a ZENIA-powered chatbot for your own users, visitors, or customers, you are responsible for:

• Reviewing and maintaining the accuracy, legality, and currency of the knowledge base.
• Configuring the chatbot appropriately for your use case, audience, and jurisdiction.
• Ensuring that AI-generated responses from your chatbot are suitable for the context in which they are displayed.
• Providing any required notices about AI-assisted communication and data processing to your users.
• Complying with applicable laws and sector-specific rules governing AI-assisted communications in your jurisdiction.

Operators should periodically review chatbot outputs, test important user journeys, and update their knowledge content when services, products, prices, policies, or legal obligations change.

ZENIA Assistant generates responses by retrieving relevant passages from a knowledge base and using them as context for the AI model. This means:

• If the knowledge base contains inaccurate, outdated, incomplete, or misleading content, the chatbot may produce responses that reflect those issues.
• Content that was correct at the time of crawling or upload may change later. ZENIA may surface quality or freshness signals where supported, but operators remain responsible for reviewing and updating their knowledge sources.
• Content uploaded or configured by operators is not independently reviewed or edited by ZENIA before use. Operators are responsible for the accuracy and legality of the content they provide.

Users who notice a response that seems wrong, outdated, harmful, or misleading should report it to the chatbot operator. Where the issue involves abuse of ZENIA itself, it may also be reported to contact@buildbot.ro.

Users must not attempt to manipulate ZENIA-powered chatbots to produce outputs that violate this notice, the Acceptable Use Policy, or applicable law. Prohibited behaviours include:

• Prompt injection attacks designed to override chatbot instructions, source constraints, or safety settings.
• Deliberate jailbreaking or attempts to bypass safety and policy restrictions.
• Generating harmful, illegal, abusive, deceptive, discriminatory, or infringing content through the chatbot interface.
• Using the chatbot to extract confidential system prompts, credentials, internal configuration, private data, or non-public information.
• Using chatbot output to impersonate people, organisations, public authorities, or licensed professionals in a deceptive way.

If you become aware of a ZENIA-powered chatbot being used in a harmful or abusive way, please contact us at contact@buildbot.ro.

Your chat messages may be transmitted to AI inference and embedding providers as needed to generate responses and operate the service. This processing is part of how the chatbot works.

Do not enter sensitive personal information in chat sessions unless you are sure it is necessary and that the chatbot operator is authorised to process it. Sensitive information may include:

• Financial credentials, card numbers, PINs, passwords, or authentication codes.
• Government-issued identification numbers or official identity documents.
• Health, biometric, genetic, or similarly sensitive personal information.
• Confidential business information, trade secrets, or credentials.
• Details that could be used to identify, target, or harm you or another person.

Chat sessions are handled in accordance with the Privacy Policy. If you use a ZENIA-powered chatbot embedded on a third-party website, that website operator's own privacy policy and notices may also apply.
