Refunds, Cancellation & Withdrawal

This policy explains how cancellation, refunds, and withdrawal rights apply to ZENIA Assistant / buildbot.ro subscriptions.

ZENIA Assistant / buildbot.ro is operated by Popescu Adrian Florin, based in Romania, under the ZENIA Assistant / buildbot.ro brand. ZENIA Assistant is a software product, not a registered company or separate legal entity.

Paid plans are being prepared for launch through Paddle. Until live checkout is enabled, paid access may be unavailable or available only to approved users. Once checkout is enabled through Paddle, purchases processed through Paddle may be managed by Paddle as Merchant of Record, including payment, receipt, applicable taxes, subscription management, and certain refund requests, under Paddle’s applicable buyer terms and applicable law.

Monthly plans renew automatically for each monthly billing period, starting from the subscription activation date or according to the billing schedule shown in checkout.

If you cancel a monthly plan:
• Your access continues until the end of the current monthly billing period.
• No refund is normally issued for the remaining days in the current month.
• Your subscription will not renew after the current period ends.
• You may manage cancellation from your ZENIA account, where available, or through the subscription-management tools provided by Paddle.

Because service access may begin immediately after payment confirmation, monthly fees already charged are normally non-refundable except for the statutory EU/EEA consumer withdrawal right, mandatory rights under applicable law, or cases approved through Paddle.

Annual plans are billed once per year at the annual price shown in checkout. Annual pricing may include a discount compared to 12 × the monthly rate.

If you cancel an annual plan:
• Your access continues until the end of the 12-month period you have paid for.
• No refund is normally issued for unused months remaining in the annual period.
• Your plan will not renew at the end of the annual period.
• You may manage cancellation from your ZENIA account, where available, or through the subscription-management tools provided by Paddle.

EU/EEA consumers who purchase an annual plan for the first time may have a statutory 14-day withdrawal right, subject to the conditions in section 9 and applicable law.

Once live checkout is enabled, you may cancel your subscription using one of the following methods:

1. Log in to your ZENIA account.
2. Go to Account → Billing or Account → Plans, depending on the options available in the interface.
3. Click “Cancel subscription” and confirm the action, if this option is available.

If payment was processed through Paddle, you may also use the “Manage subscription” or “View receipt” link in the confirmation email received from Paddle, as well as the Paddle support channel indicated in that email.

Cancellation is applied after confirmation. You may receive confirmation by email from ZENIA, from Paddle, or through a message in your account, depending on the channel used.

If you cannot cancel from your account or through Paddle, contact us at contact@buildbot.ro and, as a general rule, we will try to assist within 2 business days.

Cancellation takes effect at the end of your current paid billing period, unless Paddle checkout, applicable law, or a confirmed refund decision requires otherwise:

• Monthly plan: end of the current monthly billing period.
• Annual plan: end of the 12-month period.

During this time, you retain access to the features included in your plan. After the period ends, your account may be downgraded to the Free plan or to another available unpaid plan, if such a plan remains available.

If your account usage exceeds the limits of the plan available after cancellation, some domains, files, features, or associated data may become restricted, unavailable for processing, archived, or deleted under the applicable terms and communicated retention policies. We recommend reducing your usage or saving important data before the plan change takes effect.

When you upgrade to a higher plan, the change takes effect after payment confirmation by Paddle or by the payment provider shown in checkout:

• Your new plan limits and features become available once the upgrade is activated.
• The new plan price, applicable taxes, and any billing adjustment are shown in checkout before confirmation.
• Your billing cycle may reset or adjust according to the rules shown in checkout.

Upgrades are normally non-refundable after access is activated, except for mandatory legal rights, any applicable EU/EEA consumer withdrawal right, or cases approved through Paddle.

When you downgrade to a lower plan, the change takes effect at the start of your next billing period, unless Paddle checkout or your account displays a different rule before confirmation.

Until your downgrade takes effect:
• You retain access to the features of your current plan.
• No refund is normally issued for the remaining time on your current plan.
• The next renewal will use the lower plan if the downgrade is correctly confirmed.

When the downgrade takes effect, the limits of the new plan are applied. If your current usage exceeds the new plan’s limits:
• Websites: excess domains may become restricted or may need to be deleted before new indexing or query activity is available.
• Files: files exceeding the new plan limits may become unavailable for processing, restricted, or removed under the applicable policies.
• Messages: the monthly message limit applies according to the new plan.
• Features: features not included in the new plan, for example API access or advanced analytics features, may be disabled when the downgrade takes effect.

Except for the EU/EEA consumer withdrawal right described in section 9, mandatory rights under applicable law, and cases approved through Paddle, refunds are not normally issued for:

• Unused time remaining in a monthly billing period.
• Unused months remaining in an annual subscription.
• Partial periods following an upgrade.
• Subscriptions where the account has been suspended or terminated for violations of the Terms or acceptable-use policies.

Discretionary goodwill credits or refunds may be considered in exceptional circumstances, such as a verified technical failure that materially prevented access to the Service for an extended period. These cases are assessed individually.

If your purchase was processed through Paddle, the refund request may need to be submitted through the Paddle tools shown in the confirmation email, receipt, or subscription-management page.

If you are a consumer resident in the European Union or European Economic Area, you may have a statutory right to withdraw from a digital service contract within 14 calendar days of the date of purchase, under Directive 2011/83/EU as implemented in applicable law, including Romanian law.

The 14-day withdrawal period is intended to apply to the first purchase of a new subscription. It does not normally apply to recurring renewals of the same subscription, except where provided by applicable law or Paddle policy.

Important: by completing checkout, you may expressly request that the Service begins immediately before the withdrawal period expires. If service delivery begins immediately at your request, any refund granted under the withdrawal right may be affected by the part of the service already supplied, to the extent permitted by applicable law and Paddle rules.

To exercise the right of withdrawal, you must send a clear notice within 14 days of purchase using the contact details or method described in section 12.

Once live checkout is enabled, your subscription should be activated after payment confirmation by Paddle or by the payment provider shown in checkout.

By subscribing, you may be asked to expressly consent to immediate service delivery before the 14-day withdrawal period expires. This consent may be recorded in checkout and/or confirmed by email.

After a billing period has started and access to plan features has been activated, that period is treated as supplied for billing purposes. Refunds for partial periods are not normally available outside applicable legal rights or cases approved through Paddle.

If payment was processed through Paddle, include your account email, Paddle transaction reference, purchase date, and a description of the issue. You may need to manage the request directly through Paddle using the links in your receipt or transaction confirmation email.

To exercise your right of withdrawal, send a clear written statement within 14 calendar days of your subscription purchase date.

If the purchase was processed through Paddle, use the Paddle support link, “View receipt,” or “Manage subscription” link in the confirmation email received from Paddle first. You may also contact us at contact@buildbot.ro for assistance.

Your communication must include:
• Your full name
• The email address associated with your ZENIA account
• The date of purchase
• The plan purchased
• The Paddle transaction or payment reference, if available
• A clear statement that you wish to withdraw from the contract

You may use the template in section 13 below. If the request is eligible, acknowledgement and any applicable refund will be processed according to the original payment method, Paddle rules, and applicable law.
