Terms of Service

ZENIA Assistant is a website AI product operated by Popescu Adrian Florin, an individual based in Romania, using the ZENIA Assistant / buildbot.ro brand. The product is available at https://buildbot.ro and helps website owners turn approved website and document content into source-backed answers.

ZENIA Assistant is presented as a software product, not as a registered company or separate legal entity. Any reference to “ZENIA”, “ZENIA Assistant”, “buildbot.ro”, “we”, “us”, or the “Service” in these Terms refers to the product and services operated by Popescu Adrian Florin, unless the context states otherwise.

These Terms describe the current rules for using the product, dashboard, API, embed widget, and associated services (collectively, the “Service”). By accessing or using the Service, you agree to follow these Terms. If you do not agree, do not use the Service.

Paid plans are being prepared for launch through Paddle. Until live checkout is enabled, paid subscriptions may be unavailable to the public or available only to approved early-access users.

To use the Service, you must:

• Be at least 18 years of age or the age of legal majority in your jurisdiction.
• Have the authority to bind the entity on whose behalf you are creating an account, if applicable.
• Not be prohibited from using the Service under any applicable law or regulation.
• Provide accurate and complete registration information.

You must provide a valid email address and create a secure password during registration. You are responsible for maintaining the confidentiality of your account credentials, for all activity that occurs under your account, and for notifying us immediately at contact@buildbot.ro if you suspect unauthorized access.

We store passwords using industry-standard password hashing and never transmit or store them in plain text. We reserve the right to suspend or terminate accounts that do not meet eligibility requirements.

ZENIA provides the following core capabilities:

• Website Crawling — automated indexing of web pages, including dynamic content where technically supported, producing structured knowledge from your website content.
• File Uploads — ingestion of PDF, DOCX, TXT, and MD documents as additional knowledge sources.
• Custom Text — manually authored knowledge entries added through the dashboard.
• AI Chatbot — an embeddable chat widget powered by large language models that answers visitor questions grounded in your indexed knowledge, with source citations and confidence assessment.
• Dashboard — a web-based control panel for managing domains, knowledge sources, analytics, chat sessions, file uploads, embed code, account settings, and billing.
• API Access — programmatic access to Platform features (available on eligible plans).

The following defined terms are used throughout these Terms:

• “Platform” — the ZENIA web application, dashboard, API, embed widget, and all associated infrastructure.
• “Workspace” — a logical container representing one customer account, holding domains, knowledge sources, settings, and usage data.
• “Domain” or “Website” — a website URL configured within a Workspace for knowledge crawling and chatbot deployment.
• “Knowledge Source” — any content indexed by the Platform, including crawled web pages, uploaded files, and custom text entries.
• “Plan” — a subscription tier (Free, Basic, Pro, or Scale) that determines feature access and usage limits.
• “User” — any individual who registers an account on the Platform.
• “Visitor” — any end user who interacts with a deployed chatbot on a customer’s website.

The Service is currently presented with the following plans:

• Free — public access for evaluation, with limited usage and no file uploads.
• Basic (€29/month) — paid plan being prepared for launch through Paddle.
• Pro (€79/month) — paid plan being prepared for launch through Paddle.
• Scale (€249/month) — paid plan being prepared for launch through Paddle.

Until live checkout is enabled, paid plans may be unavailable to the public or available only to approved early-access users. Prices are shown for product presentation and may be updated before live payment is enabled.

All prices are shown in EUR. Applicable taxes, including VAT where relevant, will be calculated or displayed during checkout according to the final Paddle configuration.

Each plan enforces specific usage limits. When limits are reached:

• Websites — you cannot add new domains until you upgrade your plan or remove existing ones.
• Messages — chat messaging pauses for the remainder of the billing cycle. Visitors see a polite notice. Message usage resets on the 1st of each calendar month (UTC).
• Pages per crawl — crawl operations are limited to the plan’s page count per crawl run.
• File uploads — new uploads are blocked until you remove files or upgrade your plan. File-count and storage limits are enforced at workspace level according to your active plan. Individual uploads may also be subject to a technical safety limit.

There are no silent overages. You will always be notified when approaching or exceeding limits. We do not charge overage fees; the relevant feature is paused until the limit resets or you upgrade.

The Free plan is available indefinitely at no cost and provides limited access to the Platform. There is no time-limited trial period — the Free plan serves as a permanent way to evaluate the Service. We reserve the right to modify Free plan limits or features at any time. Free plan accounts inactive for more than 12 consecutive months may be subject to deletion after prior notice.

Upgrades, downgrades, and cancellations apply to paid subscriptions once live checkout is enabled. Until then, paid plans may be unavailable to the public or available only to approved early-access users.

After checkout launch, users will be able to manage their subscription through the account area, through the available billing flow, or by contacting us at contact@buildbot.ro. Cancellation stops future renewals but does not automatically remove access already granted for the paid period, unless applicable law or the refund policy requires otherwise.

Downgrading may reduce plan limits, including websites, messages, pages per crawl, files, storage, API access, and white-label features. If existing usage exceeds the limits of the new plan, some features may be blocked until you reduce usage or return to an eligible plan.

Under EU consumer protection law, consumers may have a 14-day right of withdrawal for paid digital services, subject to applicable exceptions for digital services that have already started with the consumer’s consent. For full details, see our Refunds & Withdrawal policy.

Paid subscriptions and live checkout are being prepared for launch through Paddle. Until live checkout is enabled, the product may expose a checkout flow only for internal testing, review, or approved early access.

After activation, payments, subscriptions, applicable taxes, and commercial documents related to purchases will be processed through Paddle, which may act as merchant of record for eligible transactions. ZENIA Assistant / buildbot.ro does not store or access full payment card details.

• Monthly and annual prices are shown in EUR.
• Applicable taxes, including VAT where relevant, will be calculated or displayed during checkout according to the final Paddle configuration.
• Payment documents and refunds will follow the commercial flow available through Paddle and our refund policy.
• Failed payments may lead to suspension, limitation, or cancellation of paid features after reasonable notice and a grace period, where applicable.

You retain full ownership of all content you provide to the Platform, including:

• Website content crawled by the Service at your direction.
• Files uploaded to the Platform (PDF, DOCX, TXT, MD, XML).
• Custom text entries authored through the dashboard.
• Your brand assets, logos, and visual identity.

By using the Service, you grant us a limited, non-exclusive, revocable license to process, store, chunk, embed, and index your content solely for the purpose of providing the Service. This license terminates when you delete the content or close your account.

Your content is used exclusively to power your chatbot’s responses. It is not shared with other customers, sold to any party, or used by ZENIA to train a general-purpose AI model. Knowledge sources may be transmitted to third-party AI providers solely for generating chatbot responses and embeddings on your behalf, subject to the relevant provider terms.

As a User of the Service, you are responsible for:

• Ensuring you have the legal right to crawl, index, and reproduce the website content you configure for crawling. You must be the owner of the website or have explicit written authorization from the owner.
• Ensuring you have the right to upload and distribute any files you provide to the Platform. Do not upload files containing content you do not own or are not licensed to use.
• Providing accurate information about your business in custom text entries.
• Reviewing AI-generated chatbot responses to ensure they are appropriate for your use case.
• Complying with all applicable laws and regulations when using the Service, including data protection, consumer protection, and intellectual property laws.
• Providing appropriate notices to your website visitors about the use of AI chatbot technology and data processing, as required by applicable privacy regulations.
• Not configuring the chatbot to provide advice in regulated fields (medical, legal, financial) without appropriate disclaimers.

Failure to meet these responsibilities may result in content removal, account suspension, or termination.

You agree not to use the Service to:

• Violate any applicable local, national, or international law or regulation.
• Upload, crawl, or index content that is illegal, defamatory, obscene, or infringes on third-party rights.
• Distribute malware, spam, or any form of malicious content through the chatbot.
• Attempt to reverse-engineer, decompile, or extract source code from the Platform.
• Circumvent usage limits, rate limits, or access controls.
• Use the Platform to build a competing product or service.
• Scrape, crawl, or index websites without the website owner’s authorization.
• Impersonate another person or entity.
• Engage in fraud, phishing, or social engineering through the chatbot.
• Use the Service to generate or distribute unlawful, harmful, or deceptive content.
• Interfere with or disrupt the integrity or performance of the Service.

We reserve the right to suspend or terminate accounts that violate these terms without prior notice. Repeated or severe violations may result in permanent account termination.

API access is available on Pro and Scale plans. If your plan includes API access:

• API usage is subject to the same usage quotas and rate limits as dashboard usage. API calls that generate chatbot responses count toward your monthly message limit.
• You must keep your API keys confidential and must not share them with unauthorized parties.
• You are responsible for securing your API integration and preventing unauthorized use of your API keys.
• We may throttle or suspend API access if we detect abusive or anomalous usage patterns.
• API documentation is provided as-is. We make reasonable efforts to maintain backward compatibility but reserve the right to modify the API with reasonable notice.
• Automated bulk operations that could degrade service quality for other users are prohibited.

If you suspect your API key has been compromised, you should regenerate it immediately from your Account settings and contact us at contact@buildbot.ro.

Branding and white-label features vary by plan:

• Free plan — the chat widget displays ZENIA branding. You may not remove or alter this branding.
• Basic and Pro plans — branding removal is available. You may remove the “Powered by ZENIA” label from the chat widget. Custom visual themes are supported for styling the widget to match your brand.
• Scale plan — full white-label capabilities are available. You may deploy the chat widget under your own brand identity with no visible reference to ZENIA.

Regardless of plan:

• You may not misrepresent the origin of the technology or claim that the AI chatbot is your proprietary technology when it is powered by ZENIA.
• You may not use ZENIA’s name, logo, or trademarks in your marketing materials without our prior written consent.
• White-label rights are non-transferable and apply only to the subscribing Workspace.

We strive to maintain high availability and will make commercially reasonable efforts to keep the Service operational. However, we do not guarantee uninterrupted or error-free service.

• Scheduled maintenance — we will provide advance notice when possible, typically via the dashboard or email.
• Emergency maintenance — may occur without prior notice to address critical security or stability issues.
• Feature changes — we may modify, add, or remove features of the Service at any time. Material changes that reduce functionality will be communicated with at least 14 days’ notice.

We may update these Terms from time to time. When we make material changes, we will update the last-updated date at the top of this page and notify registered users by email at least 14 days before changes take effect. Continued use of the Service after the effective date constitutes acceptance of the revised Terms. If you disagree, you may cancel your subscription before the changes take effect.

Support availability depends on your subscription plan:

• Free plan — community resources and documentation only. No direct support.
• Basic plan — standard email support at contact@buildbot.ro. We aim to respond within 2 business days.
• Pro plan — priority email support with faster response times. We aim to respond within 1 business day.
• Scale plan — priority support with the fastest response times and dedicated assistance for onboarding and technical issues.

Support covers questions about Platform functionality, account management, billing, and technical integration. Support does not cover custom development, content strategy, SEO advice, or review of your legal compliance.

All support is provided in English and Romanian.

The Platform, including its source code, design, logos, documentation, and related branding used on buildbot.ro, is part of the ZENIA Assistant product and is protected by applicable intellectual property law.

You retain full ownership of your content as described in Section 8. The limited license you grant us applies solely to providing the Service and does not transfer any ownership rights.

You may not:

• Copy, modify, or create derivative works of the Platform or any part thereof.
• Use the ZENIA Assistant name, logo, or branding in a misleading way, except as enabled by the branding-removal feature on eligible plans.
• Remove or alter any proprietary notices or labels on the Platform.

Personal data is handled through the buildbot.ro product experience in accordance with the Privacy Policy and applicable data-protection rules.

Key data processing activities include:

• Account data — email, hashed password, and session information.
• Knowledge sources — content you upload or authorize the service to crawl, stored for indexing.
• Chat interactions — messages exchanged between Visitors and the chatbot.
• Usage data — operational logs used to keep the service reliable.
• Payment data — after live checkout is enabled, payment data will be processed through Paddle. ZENIA Assistant / buildbot.ro does not store full card details.

We may suspend or terminate your account under the following circumstances:

• Violation of these Terms, including the Acceptable Use policy.
• Non-payment after reasonable notice and a grace period.
• Fraudulent or illegal activity associated with your account.
• Extended inactivity on the Free plan (12+ months after notice).
• Requests from law enforcement or regulatory authorities.

Upon termination:

• Your access to the dashboard, API, and all services will be revoked immediately.
• Your deployed chat widgets will stop functioning.
• Your knowledge sources and personal data will be deleted within 30 days, except where retention is required by law, such as invoicing records.
• We are not obligated to provide copies of your data after termination, though you may request an export before your account is closed.

You may voluntarily close your account at any time from the Account settings or by contacting us at contact@buildbot.ro.

THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE” WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY.

WE DISCLAIM ALL WARRANTIES INCLUDING, WITHOUT LIMITATION, IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.

The Platform uses artificial intelligence and external AI services to generate chatbot responses where required. You acknowledge and agree that:

• AI-generated responses are based on your indexed knowledge sources and may not always be accurate, complete, or current.
• ZENIA does not guarantee the accuracy, reliability, or suitability of AI-generated content for any particular purpose.
• You are responsible for reviewing and validating AI-generated responses before relying on them for critical decisions.
• AI responses may occasionally produce unexpected or incorrect outputs despite our source-grounding, confidence assessment, and citation mechanisms.
• The quality of responses depends on the quality and completeness of your indexed knowledge sources.

ZENIA implements source-grounding, confidence assessment, and citation mechanisms to minimize inaccuracies, but these safeguards do not eliminate all risk. You agree to use AI-generated content at your own discretion and risk.

We do not warrant that the Service will meet your specific requirements or that results obtained will be accurate or reliable.

TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, POPESCU ADRIAN FLORIN, ZENIA ASSISTANT, AND BUILDBOT.RO WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, LOSS-OF-PROFIT, LOSS-OF-REVENUE, LOSS-OF-DATA, LOSS-OF-GOODWILL, OR BUSINESS-INTERRUPTION DAMAGES ARISING FROM OR RELATED TO THE USE OF THE SERVICE.

Our total aggregate liability for any claims related to the Service is limited, to the extent permitted by law, to the amount paid by you for the Service during the 12 months before the event giving rise to the claim. For Free plan users or unpaid use, our total aggregate liability is limited to EUR 100, to the extent permitted by law.

Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law, including mandatory consumer rights where applicable.

ZENIA Assistant is a software product operated by Popescu Adrian Florin. Nothing on this page should be read as naming ZENIA Assistant itself as a registered company or separate legal entity.

To the extent permitted by applicable law, these Terms are governed by the laws of Romania, without regard to conflict-of-law rules.

If you are a consumer in the European Union, you continue to benefit from the mandatory protections provided by the laws of your country of residence where those protections apply and cannot be contractually limited.

Before starting a formal dispute, please contact us at contact@buildbot.ro so we can try to resolve the issue amicably. Any dispute that cannot be resolved amicably will be handled by the competent courts under applicable law.
